Your new phone has arrived, and you’re probably having a blast checking out the new features and showing it off to your friends. It might be an iPhone, or it might be an Android phone… it might even be a Blackberry.

You’re also probably wondering how to copy everything from the old phone to the shiny new one – apps you’ve purchased, music, photos, contacts, email, notes – the whole enchilada.

There are two ways you can tackle this task, and each one just depends on how much manual work you want to take on, or how easy you want the process to be.

Let’s start with the DIY manual process. It’s free… but we all know that nothing is really truly free, because the free approach is always harder and takes longer… and time is money, so you have to decide what’s most important to you. It also only works with iPhones. If you are transferring from or to an Android phone, then jump to the bottom of this tutorial and learn how to use Wondershare’s new MobileTrans app that lets you transfer data from any iPhone, Android, Windows Phone, Symbian etc. to any other phone without any loss of data.

Manually Transfer Everything From Old Phone to New Phone

Here are the steps you’ll need to take, to transfer everything from your old iPhone to your new one, by backing up your old iphone and then restoring the new iPhone from the backup. These same steps can be followed to fully backup an iPhone (and you might realize after reading this article that the backups you’ve been doing have not been fully backing up your purchased apps).

1. Backup the old iPhone

Connect your iPhone to your computer with the USB data cable and open iTunes. Wait for it to recognize your iPhone, and then right-click on your iPhone in the left side bar. Select “Backup” from the short-cut menu to start the backup.

The first backup took about 20 minutes on my iPhone, which was loaded with about 4 GB of data. I say first, because I ended up having to do it again because the first run didn’t backup my purchased apps nor my music files. Instead, I received an error message indicating that not everything was transferred, and that my computer wasn’t authorized to play the items (even though I had already authorized my computer).

Turns out you have to tell iTunes to transfer purchased apps from your iPhone to your computer, and Apple didn’t put the menu option in a prominent location.

2. Transfer Purchased Apps

When you purchase apps from your iPhone, they aren’t included in the iTunes backup. You have to right-click on your iPhone in iTunes and select “Transfer Purchases”.

This copies over all of your purchased apps into iTunes, but they still wont’ be part of the backup unless you select them. Select your iPhone in iTunes and then click the “Applications” tab, and make sure that all of the apps are selected. Do the same thing with the Music and Videos tab, and make sure all of your songs and movies are selected. Very important: Run the backup one more time to backup the apps, music, and movies we just selected.

3. Restore from the Backup

Now we’re ready to transfer everything over to the new iPhone. Unplug the old iPhone and connect the new iPhone. Wait for iTunes to recognize it, and you should see it show up on the left sidebar just like the old one. Right-click on your new iPhone in iTunes, and select “Restore from Backup”. Choose the option to “Restore from the backup of” the old iPhone.

Important: Once the backup has finished, do one last sync and be sure to select everything you want transferred over (apps, music, etc). This will copy everything over from the old iPhone to the new iPhone, including email accounts, contacts, photos, apps, etc. It won’t delete any of the new iPhone apps either, like the new Compass or Voice Memos.

A few Gotchas worth pointing out:

I had to go in an enter passwords for the email accounts – those weren’t transferred over, which actually makes sense from a security point of view. Same thing for Wi-Fi networks. It didn’t save my work or home Wi-Fi network settings, so I had to reconnect to them and re-enter the passwords for those networks.

Other then the hassle of transferring purchased apps and making sure everything was selected for the backup for Music, Applications, Videos, etc – this was a fairly bumpy process that took about 2 hours all together from start to finish.

    This was a very helpful article.. I had the first generation iPhone and just received my new 3GS.. So I am ready to backup, restore, transfer my music and applications, etc.. However, here’s my dilemma.. The laptop that I synced to is gone, stolen (along with some important personal items, but I won’t go there).
    So without the original music and apps contained in my iTunes (only on my old iPhone) is there any way that those can still be transfered to my new 3GS?

      If you still have your old iPhone then you should still be able to back it up on your new/other computer, and then can restore the new 3GS using the steps described above.

    excellent! thank you for your easy instructions. drop iphone in the bath, took 2days to dry out,had to open it and dry it with a hairdryer! lucky for me its fine and working fine apart from when i get phone calls or dial out, theres no sound! only way is to have it on speaker phone! tried the usual advive i found online, did restore, plugged and unplugged headphones into the headphone jack about 100 times! ect ect…. no joy!
    its not in warranty now either and is not a contract phone. so my hubby is willing to buy me a new one. thus looking up about transfering data before we go out and buy another one! do you have any tips about my diaster? would be grateful.

      Fished it out fast, removed SIM card, used blow dryer, vacuum, now its sitting in rubbermaid covered with rice. Praying for the best!

      Now, I borrowed an old 2G iphone, and put my SIM card into it. Make me sync w/iTunes. But it wants me to sign up for brand new ATT service. How to do TEMPORARLY transfer ATT service to the 2G?

    Crushed 3GS to Refurbished 3GS
    Yesterday my boyfriend dropped a speaker on my iphone and crushed the top part of the screen. I can still receive texts and phone calls but obviously can’t see who from. Also, I am able to backup from the iphone onto my computer after the accident. Tomorrow I will get a replacement iphone, most likely refurbished. However, when I called the iphone technical support here in Japan, they told me that I had to download Microsoft Office Outlook 2003 or 2007 in order to backup the phone’s Notes (which happens to be impossible here in Japan as I can only download 2010 version).
    They also said that none of my text messages will be able to be saved when transferring to the new phone as I did not use the special iphone text/e-mail service (which here in Japan is more expensive for people who text me, so I kept the normal cell mail – i.e. phone@softbank.ne.jp instead of phone@i.softbank.ne.jp).
    We have spent the last 2 days, over 10 hours straight today trying to figure this out and so frustrated! Please help! The information here is very hard to come by and I have no idea how to get all of my data (Notes, text messages, applications, Phone book, etc.) onto the new phone and neither do they apparently (also spent hours in the phone shop but they were also unsuccessful!).
    I will have to give up my crushed phone to get the new phone so nothing to compare to later. Please tell me what to do! Thank you very much for your help! Apple won’t even talk to me unless I pay another $70 on top of the $220 I will have to pay for a new refurbished phone tomorrow.

    Well, I just got my iphone 4, followed the instructions, and everything is going well so far! One side note, make sure you’ve registered your phone with AT&T first (in the U.S.). Once that’s done, THEN hook up the iphone to itunes to restore from backup.

However, when I backed up my old stuff and then inserted USB into new iphone 3Gs it said the software wasnt compatible and I couldn`t restore from old phone. So I stupidly sysnched as a new phone.       Melanie – hopefully you have solved your issue by now. I just did the same thing and found that you can right click on the phone name on the left side of iTunes and select restore from back up. It will allow you to select which phone you want to restore from.

    Hey rick my 1st generation iphone just recently stopped working all of a sudden. Itunes will not allow my JordanMedlinsIphone link to pop up because it is requesting me to unlock my iphone by typing in the password on my phone which is completely impossible considering my iphones screen is permanently black and will not allow me to do anything. Anyways,my Dad still has his old Iphone 3Gs which he has been trying to give to me for some time now but I dont have any clue how to transfer all of my information (songs,apps,contacts,my number,ect.) from my old iphone 1st generation which has currently stopped working, to my dads used iphone 3gs.     Last week my iphone 3G died I cannot turn it on at all. I got a replacement 3GS. I had my 3G synced to itunes on my 2002 apple imac. My new 3GS is not recognized by itunes on the imac b/c my itunes is not 10 or later and my mac is too old to upgrade from the 9 to the 10. This being said I had to install itunes 10 on my pc laptop so I could sync the phone and get it working. Soooo, how the heck do I get all my apps, contacts, music, etc. from this broken 3G to my new 3GS that is using a different computer and itunes. Help please!!

    The article was really helpful, but I was wondering how can you take the backup information of an iPhone 3GS and transfer it all onto an iPhone 3G? iTunes keeps telling me that I need to set up the iPhone as “new”, then restore it’s software to a more updated version (since its an older iPhone) but once I do that I don’t see the option to put any backups on it, can you help?

    Here’s my issue: I have the new iPhone 4s upgraded from the iPhone 3G. I have my contacts synced from Yahoo but cannot get my calendar, notes or text messages to transfer over. Whenever I plug in the 3G or 4s, I get the: “No supported calendar application can be found.” as well as “No supported notes application can be found.”

    That being said, which PC Applications are people using that ARE supported for notes and calendar events???? I could live without the text messages but I really need the events and notes. Since the 3G can’t connect to anything by iTunes, what options do I have available??

Will this happen as part of the process you mention? All the emphasis seems to be on the music and apps.
